Executive Assistant to the CEO
This position requires an exceptionally professional individual who will provide high-level, strategic and operational support to the CEO across multiple healthcare entities.
The role requires a person who is able to work independently, operate across clinical, commercial and broader business environments, manage multiple priorities simultaneously and maintain the highest level of confidentiality, discretion and professionalism at all times.

Skills Required:
- Matriculation Certificate.
- Relevant tertiary qualification advantageous (Business Administration / Healthcare / Commerce).
- Minimum 5 – 10 years’ experience in an Executive Assistant / Business Support role.
- Healthcare / medical industry experience highly advantageous.
- Strong commercial acumen and business understanding.
- Advanced Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Strong business writing and presentation preparation skills.
- Executive-level diary and stakeholder management.
- Project coordination and execution tracking.
- Strong organisational and time management skills.
- High attention to detail.
- Digital capability and strong systems orientation.
- Ability to embrace and support digital transformation initiatives.
- Experience working with digital tools, platforms and workflow systems to improve efficiency.

Essential Duties & Responsibilities:
Company Secretarial & Governance Support
- Coordinate and manage board and EXCO meetings.
- Prepare and distribute board packs, agendas and supporting documentation.
- Attend meetings where required and accurately record minutes and resolutions.
- Track and follow up on board and EXCO action items.
- Maintain proper records of decisions, resolutions and governance documentation.
- Support compliance with corporate governance and regulatory requirements.
- Assist with coordination across multiple legal entities within the group.
Executive Support
- Manage CEO diary across multiple entities and stakeholders.
- Coordinate and schedule meetings (EXCO, clinical, commercial, board-level).
- Prepare agendas, meeting packs, presentations and supporting documentation.
- Record minutes and ensure follow-up actions are tracked and completed.
- Act as gatekeeper to CEO, managing priorities and time effectively.
Commercial & Strategic Support
- Assist CEO with business development and commercial initiatives.
- Support preparation of proposals, presentations and executive summaries.
- Conduct research and compile information for strategic decision-making.
- Assist in coordination of partnerships and stakeholder engagements.
Healthcare & Clinical Interface
- Engage with doctors, clinical managers and hospital stakeholders.
- Support coordination between clinical and administrative functions.
- Develop understanding of emergency unit operations and patient flow.
- Ensure alignment between clinical, operational and commercial priorities.
Project & Execution Management
- Track key CEO priorities across all entities.
- Follow up on deliverables across departments and stakeholders.
- Ensure execution and accountability on key initiatives.
- Assist in coordinating cross-functional projects.
Daily Operations
- Manage CEO communications (email, calls, correspondence) where requested.
- Prioritise and filter incoming requests and information where necessary.
- Ensure CEO is prepared for all meetings and engagements.
- Coordinate CEO travel arrangements together with the logistics department.
- Provide general administrative support where required.
Information & Governance
- Handle confidential and sensitive information with discretion.
- Ensure compliance with POPIA and internal governance standards.
- Maintain structured documentation, reporting and filing systems.
- Ensure accuracy and integrity of information presented to the CEO.
Stakeholder Management
- Interface with internal and external stakeholders at executive level.
- Represent the CEO in a professional and structured manner.
- Manage communication and correspondence on behalf of the CEO where required.
Weekly Tasks
- Prepare weekly reports, summaries and updates for CEO.
- Track progress on key projects and initiatives.
- Coordinate weekly meetings and ensure action items are followed up.
Monthly Tasks
- Assist with preparation of monthly reporting packs.
- Support coordination of EXCO and board-level reporting.
- Monitor progress against strategic priorities.
